About the role

  • Civil Enforcement Project Administrator leading critical projects in the Oregon Department of Justice's Civil Enforcement Division. Collaborating with division leaders to implement agency expectations and initiatives.

Responsibilities

  • Identify issues and areas for improvement within the Civil Enforcement Division, use problem solving skills to recommend strategies and options, and formulate implementation plans
  • Meet with Civil Enforcement Division managers, attorneys, and staff to gather information about business operations and needs
  • Identify areas of cross-collaboration among the division
  • Develop project plans, timelines, and deliverables, ensuring alignment with business objections
  • Create detailed project schedules and track progress
  • Identify resources
  • Directly manage assigned projects according to established project management standards
  • Plan and develop strategic communications to keep division staff informed of initiatives and policy priorities
  • Develop guidance resources to include but not limited to training materials, data reports and dashboards, and other similar supporting documents
  • Ensure clear and effective communication, including executives, team members, and external partners
  • Design and oversee collection of program data and reporting metrics for ongoing program monitoring, legislative reporting, and budget process
  • Coordinate across agency to evaluate and recommend improvements to administrative management of programs
  • Advise and develop structure for long-range program strategic planning to lay groundwork for successful project portfolio management

Requirements

  • Seven years of professional level experience related to the class concept
  • OR Six years of professional level experience related to the class concept AND an Oregon Project Management Associate Certification
  • OR Four years of professional level experience related to the class concept AND a Bachelor’s degree in Business Administration, Management, Public Administration, or a closely related field
  • OR Two years of professional level experience AND Project Management Professional Certification awarded by the Project Management Institute
  • Excellent written and oral communication skills, including audience awareness and the skill to communicate with tact and diplomacy
  • Demonstrated ability to manage high levels of ambiguity and create clarity
  • Demonstrated ability to manage multiple tasks and deadlines
  • Demonstrated ability to work independently and be self-motivated
  • Must exercise superior common sense and good judgment
  • Demonstrated proficiency in generally accepted project management discipline, as represented through the Project Management Book of Knowledge (PMBOK), and in established project management processes and methodologies
