About the role

  • Office Manager supporting backoffice operations and management tasks at a construction company in Hamburg. Engaging in financial management and administrative duties within the team.

Responsibilities

  • Organization of the back office
  • Invoice management
  • Preparatory bookkeeping
  • Assistance to management / Executive assistance
  • First point of contact for business partners in person, by email and phone
  • Appointment scheduling and external correspondence
  • Managing deadlines
  • Organizing the offices in Hamburg and Frankfurt, including supplies and equipment
  • Preparing outgoing invoices in collaboration with the respective apc project managers
  • Monitoring incoming payments and handling dunning/collections
  • Entering outgoing invoices into the apc accounting system
  • Acting as backup for company bank account management
  • Liaison with the tax advisor's financial accounting
  • Supporting the company's external presence
  • Formatting and editing PowerPoint presentations
  • Organizing internal and external events
  • Maintaining electronic and paper filing systems
  • Managing software licenses

Requirements

  • Hands-on mentality and a solution-oriented approach
  • Completed vocational training in a commercial field or in hotel/hospitality management
  • Strong numerical aptitude
  • More than 2 years in a comparable role, including experience with DATEV
  • Excellent time management
  • Experience in administrative tasks
  • Strong organizational skills
  • Strong communication skills
  • Strong customer orientation
  • Fluent in German and English
  • Proficient in Microsoft Office 365
