Operational Administrator in HGV fleet operations ensuring accurate reporting and compliance. Supporting Fleet Manager while coordinating between teams and managing supplier relationships.
Responsibilities
Provide essential support to the Fleet Manager
Ensure accurate reporting, analysis and administration across the HGV vehicle and plant fleet
Monitor fleet costs, supplier performance and maintain compliance with HGV Operator Licence requirements
Act as a central point of coordination between operational teams, suppliers and internal stakeholders
Prepare and analyse fleet performance reports
Administer fuel cards and manage bulk fuel bunkering facilities
Monitor and record all fleet-related expenditure
Collate and audit completed daily walk-around vehicle checks
Monitor the closure of vehicle defect reports
Support compliance with DVSA standards and HGV Operator Licence conditions
Liaise with Operational Teams, suppliers and the public regarding vehicle damage or incidents
Work with vehicle repair and servicing suppliers to obtain inspection reports, service records and feedback
Check, challenge and authorise supplier invoices prior to processing for payment
Requirements
Experience working within HGV haulage or fleet operations
Strong IT skills, including experience with MS Word, MS Excel, database systems
Ability to analyse fleet cost data and challenge supplier invoices where appropriate
High attention to detail with the ability to manage multiple priorities in a compliance-driven environment
Confident communicator with the ability to work collaboratively across operational and administrative teams
