About the role

  • Project Administrator supporting operations in underground utility projects at Aecon. Assisting with project billing, record maintenance, and site coordination tasks.

Responsibilities

  • Support daily project and site activities
  • Learn, interpret, and apply organizational policies and procedures
  • Track and report attendance, board allowances, and vehicle allowances for site personnel
  • Assist with invoice processing and routing for appropriate approvals
  • Establish accounts with local suppliers and assist with material coordination
  • Support preparation and submission of project billing
  • Prepare job packages (permits, locates, materials, documentation)
  • Assist with incident and accident reporting as needed
  • Welcome and direct site visitors in a positive and professional manner
  • Maintain organized filing systems, documentation, and project records
  • Perform data entry and other administrative tasks to support project teams
  • Support a fast-paced project environment with shifting priorities
  • Travel to project sites as required

Requirements

  • Working toward a degree or diploma in Engineering (Civil, Mechanical, Electrical) or a related field
  • Strong written and verbal communication skills
  • Ability to handle confidential information with discretion
  • Strong organizational skills and comfort multitasking in a dynamic environment
  • Ability to work independently and collaboratively with various project team members
  • Professional communication and interpersonal skills
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
  • Experience with SAP is an asset (not required)
  • Interest in construction, utilities, or project coordination
