About the role

  • Site Administrator supporting Site Manager with administrative tasks for wind farms. Managing vehicles, accommodation, accounts, and compliance for wind farm operations in Australia.

Responsibilities

  • Supports the Site Manager and broader team with all administrative tasks including invoicing & generation of PO numbers
  • Vehicles & accommodation management
  • Tracking of costs and register maintenance
  • Various other tasks for wind farms currently under construction
  • Accounts Management including raising & tracking all PO's for site based activities
  • Timely payment of invoices, vendor interface, and all associated site registers & trackers
  • Booking & tracking of site vehicles, short & long term accommodation sourcing, and travel booking using internal system
  • Inbound/Outbound Freight including spares and consumables ordering & tracking
  • Attending all requested meetings as scheduled, accurate capture of minutes and filing accordingly
  • Timely reporting of corporate credit cards and expense register
  • Facilitating HSE including ordering of PPE and emergency equipment, training and room bookings
  • Compliance with Vestas policies & procedures, HSE advice, and KPI requirements
  • Ad-hoc and general administration duties as necessary

Requirements

  • Minimum 2-3 years of experience in providing administrative support
  • Certificate 3 in Business Administration (preferred but not essential)
  • Advanced Excel and Word software skills
  • SAP experience highly regarded
  • Demonstrated experience in providing project administration to large scale projects
  • Knowledge and working experience in SAP modules are highly desired
  • Ability to liaise with multiple stakeholders
  • Ability to work autonomously and multitask
  • Experience in high-pressure situations
  • Understanding of transport/logistics in the local market
  • Experience in preparing and presenting reports
