About the role

  • IT Procurement & Asset Management Specialist managing operational, administrative, and financial aspects of IT function collaborating with IT, Finance, and Legal.

Responsibilities

  • Maintain accurate inventories of software licenses and IT assets, ensuring compliance with vendor requirements (e.g. Microsoft, Adobe, Autodesk, Atlassian)
  • Monitor license and asset usage versus entitlement to minimise compliance risk and eliminate unnecessary costs
  • Manage the full lifecycle of software licenses and IT assets, including procurement, deployment, renewals, audits, true-ups, maintenance, and disposal
  • Optimise licensing models and asset utilisation through SaaS rightsizing, consolidation, and cost-saving initiatives
  • Administer IT asset management tools (e.g. ServiceDesk Plus, Endpoint Central, Intune, SCCM, JAMF) and regularly reconcile physical and system records
  • Oversee warranties, RMA processes, and vendor-led repairs
  • Coordinate procurement activities, including obtaining quotes, reviewing purchase requests, and negotiating pricing and volume discounts
  • Support IT budget planning by providing accurate data on renewals, depreciation, stock levels, and cost allocation to departments or cost centres
  • Maintain complete purchasing and contract documentation, including POs, invoices, approvals, and agreements
  • Manage vendor and contract relationships, including renewals of support agreements, cloud subscriptions, and software maintenance
  • Act as a primary point of contact for vendors, resellers, and OEMs, and evaluate SLAs and vendor performance
  • Partner with Finance and Legal on contract reviews, compliance requirements, and governance

Requirements

  • Strong organisational and administrative skills with high attention to detail
  • Proven experience with software licensing models (Microsoft, Adobe, SaaS subscriptions)
  • Hands-on experience in IT procurement (RFQs, POs, vendor management)
  • Experience using IT asset management and endpoint tools
  • Strong Excel and reporting capabilities
  • Solid understanding of budgets, cost allocation, and consumption modelling
  • Excellent communication skills with both internal stakeholders and external vendors
  • Basic understanding of IT operations, including hardware, operating systems, and software deployment
