About the role

  • PMO Manager ensuring smooth execution of digital projects for DigitalService GmbH des Bundes. Coordinating teams and managing budgets in a hybrid work environment.

Responsibilities

  • You are an essential link between our product and project teams and our finance and administrative departments. You support the planning, control and monitoring of our digital projects and ensure smooth execution.
  • You create and maintain project and budget plans based on the team’s requirements and adapt them flexibly — for example when recording hours, changing team members or adjusting budgets due to project partners.
  • You analyze existing workflows and identify opportunities for more efficient processes, which you implement together with the team.
  • You ensure a structured filing system for all important project documents, maintain lists of open items and make sure that everyone involved is always up to date.
  • You prepare presentations and reports for internal and external use, contributing to transparency around project progress.
  • You work closely with department and project leads and take an active role in providing operational support to the leadership level.
  • You keep all relevant data in our tools (e.g. Confluence, Jira, Asana) up to date and ensure that the right information is accessible to stakeholders at all times.

Requirements

  • You have initial experience in project management, ideally in a PMO environment or IT project management, and are familiar with planning, controlling and monitoring projects.
  • You have a basic understanding of budget and financial planning in the project context and are familiar with terms such as FTE, headcount and capacity planning.
  • You have an affinity for data, work confidently with Excel and can analyze complex spreadsheets. Experience with Power BI or other analytics tools is an advantage but not required.
  • You have worked with project management tools such as Jira and/or more comprehensive PM solutions like Azure DevOps, Asana or Microsoft Project and are comfortable using digital systems.
  • You have an agile mindset, ideally experience with agile frameworks such as Scrum or Kanban, and are familiar with concepts like epics, user stories and sprints; agile training or certification is a plus but not mandatory.
  • You work in a structured and precise manner, are proactive in your thinking and quickly grasp complex contexts. You communicate proactively and obtain the information you need. You speak German at least at C1 level and English at least at B2 level, as we use both languages in our daily work.
