About the role

  • Administrator managing new accounts within Aviso's hybrid operations team. Ensuring efficient processing and continuous improvement in client account management.

Responsibilities

  • Process new accounts in accordance with service level agreements.
  • Provide administrative support and manage fee-based activities, including ongoing account maintenance across our various fee programs.
  • Follow request-handling protocols by providing clear, concise notes containing relevant, up-to-date information from internal and external sources.
  • Ensure documents are complete and accurate, and enter and update client data.
  • Use all relevant systems (Laserfiche, OSM, Dataphile) appropriately and in compliance with company policies and industry regulations.
  • Ensure accounts are properly prepared in accordance with account opening forms ("FOC") and that transactions are coded in line with tax reporting rules.
  • Update internal manuals to reflect changes to company policies, industry regulations, systems, and procedures.
  • Notify peers and your supervisor of any issues or changes.
  • Regularly organize cross-training to encourage learning across all aspects of processing functions.
  • Promote a continuous-improvement environment that encourages ideas, curiosity, and participation in various initiatives.
  • Meet or exceed partners' and clients' expectations daily, demonstrating an understanding of how your work impacts these stakeholders.

Requirements

  • Postsecondary education and/or equivalent experience.
  • Minimum 1–2 years of administrative experience, preferably in mutual funds or financial services.
  • Completion of the Canadian Securities Course (CSC) is an asset.
  • Strong knowledge of Microsoft Office (Outlook, Excel, Word).
  • Knowledge of and experience with Dataphile is an asset.
  • Proficiency in both written and spoken English and French is required to communicate fluently and effectively with partners, clients, and colleagues across Canada.
  • Ability to work standard Eastern Time business hours.
