About the role

  • Meetings Manager overseeing logistics for educational and business events at SCCM. Requires strong understanding of meetings management and coordination with various stakeholders.

Responsibilities

  • Manages all logistics for SCCM’s Critical Care Congress and other education and business meetings.
  • Coordinates with SCCM staff to gather the information necessary to plan successful meetings.
  • Develops meeting budgets and manages related expenses.
  • Assists with the development of meeting RFPs, researches potential meeting sites, and recommends meeting sites.
  • Assists the senior meetings manager with the negotiation of contracts with hotels, convention centers, meeting suppliers, and vendors.
  • Ensures that housing materials for staff, vendors, and VIPs attending SCCM meetings are created and executed in a timely fashion.
  • Provides support to SCCM staff, including coordination with all vendors required to ensure successful meetings.
  • Implements online committee, ancillary, and exhibitor meeting request processes for SCCM meetings as required.
  • Responsible for the assignment and confirmation of meeting and hotel rooms to make optimal use of contracted facilities for all SCCM meetings.
  • Assists senior meetings manager in the development of comprehensive meeting specifications for SCCM meetings and communicates to all relevant vendors and internal stakeholders.
  • Manages travel agency operations for staff and volunteer travel.
  • Co-leads the Congress Command Center, coordinating logistic responses with staff and vendors.
  • Assists marketing and staff partners with the development of meeting promotional materials.
  • Provides on-site support for other non-Congress meetings as needed.
  • Reviews hotel, convention center, and vendor invoices after SCCM meetings to ensure proper charges and coding for each function.
  • Participates in association industry meetings and events to maintain up-to-date knowledge of overall meeting trends.

Requirements

  • Bachelor's degree or equivalent combination of education and experience
  • Certified Meeting Professional (CMP) or related meeting certification desired
  • Five to seven years’ meetings experience; medical meetings setting preferred
  • Strong understanding of meetings management
  • Experience using meetings software
  • Process-oriented approach and ability to troubleshoot difficult projects
  • Excellent time management skills with ability to work on multiple projects simultaneously
  • Excellent verbal and written communication skills
  • Ability to work both independently and as part of a collaborative team
  • Experience in a technology-oriented, remote work environment
  • Strong organization and critical thinking abilities.
