About the role

  • Client & Sales Support Coordinator at Bienenstock ensuring seamless client experience and supporting the sales team. Collaborating internally to enhance operational efficiency and client relations.

Responsibilities

  • Serve as the first point of contact for select inbound client inquiries and participate in discovery calls as needed.
  • Assist and collaborate with Sales Representatives to create and update quotes, prepare compelling client resource folders, and execute timely, thoughtful follow-ups that keep opportunities moving forward.
  • Assist the Sales team in reviewing incoming tender and RFP documents to identify product alignment, assess fit, and support timely, strategic responses.
  • Independently manage small-scale orders (typically under $20K), and seamlessly transition complex or high-value orders to the appropriate Sales team member.
  • Guide clients to the online shop for qualifying orders and provide support for web-based transactions.
  • Coordinate with logistics, shipping, and customer service teams to address order issues as needed.
  • Own the intake and tracking of incoming maintenance requests.
  • Collaborate cross-departmentally to determine appropriate solutions and prepare tailored maintenance contracts as needed.
  • Under the direction of the Sales Manager, support a variety of sales administration tasks as needed including updating SOPs, client-facing documents, and sales resources.
  • Support the team by maintaining accurate and timely data entry in the CRM and sales pipeline, enabling reliable forecasting, reporting, and overall team efficiency.
  • Maintain knowledge of products, pricing structures, and industry trends to confidently support clients and internal teams.

Requirements

  • 2+ years in a sales support, customer service, or administrative coordination role; experience in construction, design, or educational sales is a plus.
  • Proficiency with CRM tools (e.g., HubSpot, Salesforce), Microsoft Office/Google Workspace, and basic order management systems.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities simultaneously.
  • Exceptional communication and interpersonal skills; customer-centric mindset.
  • Self-starter with the ability to work both independently and as part of a collaborative team.
