About the role

  • Support three lawyers with their administrative needs
  • Manage calendars and schedule appointments using Outlook and various planning tools
  • Oversee and update electronic and physical task management systems
  • Complete monthly reconciliations of expenses for assigned lawyers
  • Provide support for litigation and regulatory matters
  • Organize and manage complex electronic and paper filing systems
  • Draft, edit, format, and organize various materials for electronic or print use
  • Arrange meetings and manage documents and logistical support
  • Manage client documentation, pleadings, corporate records, briefs, and reports
  • Support reviewing and organizing documentary evidence for complex cases
  • Schedule court appointments and coordinate with court offices
  • Interpret court rules for multiple jurisdictions
  • File and coordinate service of court documents
  • Handle necessary document scanning and photocopying
  • Schedule and coordinate frequent travel arrangements
  • Reception duties including welcoming guests and answering phones
  • Daily management of the physical office
  • Perform additional administrative tasks as needed to support the team.

Requirements

  • Bilingual (English/French), both spoken and written
  • Graduate of an accredited Legal or Administrative Assistant program or equivalent experience
  • 4+ years of experience as a Legal Assistant or in a similar role, or equivalent experience
  • Strong organizational and prioritization skills, with the ability to work independently
  • Excellent technical skills and meticulous attention to detail
  • Strong teamwork and interpersonal skills
  • Proficiency with Microsoft Office applications
  • Knowledge of legal software such as iManage and Cosmolex
  • Ability to thrive in a fast-paced environment, adapt to shifting priorities, and meet tight deadlines
  • Self-motivated, proactive, and able to complete tasks with minimal supervision
  • Excellent written and verbal communication skills
  • Ability to work effectively under pressure.
