About the role

  • Legal Assistant providing comprehensive support to the Legal & Regulatory Team at Versant Power. Managing administrative tasks and assisting in regulatory operations.

Responsibilities

  • Provide comprehensive support to the Legal & Regulatory Team, including paralegals, attorneys, and leadership, on a wide range of administrative and ad hoc projects and tasks.
  • Maintain regulatory dashboards, including regular monitoring of notices and attendance in meetings to review and make updates.
  • Retrieve and calendar regulatory and court schedules.
  • Process invoices, accruals, expenses, and credit card statements; assist with travel plan arrangement.
  • Assist with creation of templates, responses, and e-filing responses for regulatory dockets.
  • Maintain and organize electronic files, as well as some paper files.
  • Meeting preparation and support to include meeting room set up, technology testing and setup, printed binder preparation as needed, and occasionally ordering meals.
  • Upload and organize work appropriately within the document management system and/or the administrative agency’s or court’s case management systems.
  • Keep Legal Team informed of upcoming commitments, responsibilities, and schedule changes, following up appropriately and anticipating needs.
  • Perform general office duties, including mailing, data entry, office and kitchen supply inventory and orders, and maintenance of other general office needs, including some building and kitchen tasks, as requested.

Requirements

  • AA/AS required; BA/BS preferred
  • Three (3) or more years of relevant work experience as a legal, administrative or executive assistant required
  • Competency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, etc.) or its successor
  • Demonstrated verbal and written communication skills
  • Demonstrated ability to manage multiple and competing priorities
  • Ability to receive, review, and understand scheduling documentation from administrative agencies, courts, and other tribunals and create an accessible and responsive schedule for multiple attorneys
  • Ability to manage multiple calendars within Outlook, process scheduling requests, schedule meetings, appointments, and travel
  • Ability to assist with the billing process, including but not limited to tracking invoices, administrative expenses, and expense reimbursement
  • Ability to assist with attorney licensing requirements
  • High level of attention to detail on an ongoing basis
  • Ability to manage Excel, SharePoint, and other databases to ensure they remain up to date
