Responsibilities
Lead Management: Actively convert and follow up with leads via WhatsApp and phone calls, using sales techniques to drive engagement and schedule appointments.
Consultative Service: Clearly and persuasively explain the clinic’s procedures, services and differentiators.
Patient Journey: Monitor the patient journey, including proactive post-consultation follow-up and encouraging rebooking.
Spreadsheet Management: Complete and maintain lead and patient conversion spreadsheets, performing weekly analysis to identify improvements and opportunities.
Reception and Welcoming: Greet and welcome patients with courtesy, professionalism and empathy.
Scheduling: Efficiently manage the appointment calendar, scheduling and rescheduling consultations, exams and procedures.
Clinic Organization: Keep the consultation room organized and ensure proper arrangement of equipment and necessary supplies.
Platform Management: Use management platforms and software for scheduling, finance and CRM.
Inventory Control: Assist with inventory management by monitoring supplies and materials.
Financial Support: Compile and provide basic administrative and financial information to the accounting/finance teams on a weekly basis.
Meetings: Actively participate in weekly alignment meetings to discuss expectations, results and growth strategies.
Requirements
Education: High school diploma.
Computer Skills: Proficient in Microsoft Office (Excel, Word) for spreadsheet completion and analysis.
Communication: Excellent verbal and written communication, with formal and correct Portuguese.
Tools: Proficient in the use of WhatsApp Business.
Prior Healthcare Experience: Preference for experience in reception or administrative roles at medical offices and clinics (particularly dermatology).
Sales Experience: Preference for prior experience in sales, prospecting and/or customer service, acting as a clinic concierge.
Profile: Professional, courteous, proactive demeanor and a willingness to grow with the practice.
