About the role

  • Executive Assistant supporting Calgary-based partners in a global implementation firm. Managing complex schedules, communications, and enhancing business operations.

Responsibilities

  • Provide Executive & Pod Support
  • Serve as the primary administrative support to a Calgary-based Managing Partner, supporting 2–3 additional Partners and aligned Team Leads.
  • Manage complex calendars, shifting priorities, and commitments across multiple stakeholders.
  • Anticipate needs and ensure timely follow-through on actions, communications, and deadlines.
  • Coordinate travel details, meetings, and in-person sessions, including local Calgary-based interactions.
  • Build strong working relationships and become a trusted member of the team.
  • Support Business Operations & Coordination
  • Support day-to-day Pod operations, ensuring alignment across people, priorities, and workflows.
  • Maintain organized systems, files, and documentation within Microsoft 365.
  • Provide administrative support for logistics.
  • Support Business Development
  • Prepare proposals, presentations, and client-facing materials with guidance.
  • Coordinate pursuit activities, meetings, and follow-ups.
  • Maintain CRM updates.
  • Conduct research to support client opportunities and internal initiatives.
  • Enable Communication & Stakeholder Coordination
  • Prepare clear, concise, executive-ready communications.
  • Coordinate agendas, pre-reads, and follow-ups to ensure clarity and accountability.
  • Support internal communications and occasional LinkedIn or corporate messaging.
  • Collaborate with the Global Support Team
  • Partner closely with the Vancouver head office admin team and broader Global Support network.
  • Provide backup and cross-coverage support across regions as needed.
  • Contribute to enterprise initiatives, events, and continuous improvement of administrative practices.
  • Ensure alignment with RLG tools, processes, and standards.

Requirements

  • 5+ years of experience in an Executive Assistant, business operations, or senior administrative role (ideally in consulting or professional services).
  • Strong organizational skills and proven ability to anticipate needs, manage competing priorities, and operate independently in a fast-paced environment.
  • Data-driven mindset, with the ability to organize information, track priorities, and support decision-making with clear insights.
  • Comfortable using modern digital tools, including AI-enabled productivity tools (e.g., Copilot, ChatGPT), to enhance efficiency and output quality.
  • High proficiency with Microsoft 365 (Outlook, Teams, SharePoint, PowerPoint, Excel).
  • Excellent written and verbal communication skills, including preparation of executive-level materials.
  • Experience supporting client-facing work.
  • Confidence working with senior leaders and across distributed teams.
  • Sound judgment, professionalism, and discretion with confidential information.
  • Comfort working remotely while maintaining strong local and team connectivity.
