About the role

  • Marketing Admin Assistant providing operational and marketing support to Product Marketing team. Ensuring smooth execution of marketing activities and efficient coordination across teams.

Responsibilities

  • Provide operational, administrative, and marketing support to the Product Marketing team.
  • Ensure smooth execution of marketing activities, accurate reporting, organized asset management, and efficient coordination across teams
  • Serve as backup for the marketing blog program, including scheduling, content uploads, and coordinating with writers and reviewers.
  • Support asset management and file organization for marketing materials (i.e. Widen, Seismic, Claims and Testimonials).
  • Assist with marketing and Pardot reporting requests, including data reconciliation.
  • Create and send out Practical Guidance newsletters and publish web versions of Practical Guidance journals.
  • Create and update SalesPro content and convert HTML email communications.
  • Provide logistical and administrative support for product marketing team activities, meetings, etc.
  • Coordinate internal events such as team building sessions and professional development activities.
  • Assist with personal expense processing and travel arrangements for senior team members.
  • Support special projects and ad-hoc initiatives to ensure smooth team operations.
  • Act as back up in processing invoices, purchase orders, and expense reports with accuracy and timeliness.
  • Support tracking and reconciliation of budget spending, ensuring proper documentation and approvals.
  • Assist in maintaining department budget trackers, flagging variances, and supporting budget reporting
  • Support invoice management and Pcard reconciliation
  • Maintain shared tools and records, ensuring information is organized and up to date

Requirements

  • Bachelor's Degree holder
  • 1 - 2 years of working experience in the related field
  • Good verbal and written communication skills
  • Strong stakeholder management skills
  • Detail oriented and willing to support US Marketing operations on graveyard shift PH time.
  • Knowledge of Customer Relationship Management tools (Oracle Fusion, Invoice look-up, Citibank site, SalesPro, Widen, MDC, Smart Sheet, GCRM, and Community) are a plus
  • Marketing background is a plus
