About the role

  • Sales/Finance Coordinator managing sales and finance operations for QS. Ensuring data integrity and collaborating across teams for revenue reporting in higher education.

Responsibilities

  • Perform monthly reconciliation of sales activity between HubSpot and NetSuite to identify variances or missing records
  • Investigate discrepancies by reviewing deal data, contract terms, billing details, revenue schedules, and system logs
  • Document root causes of variances and recommend process improvements to reduce recurring issues
  • Ensure proper alignment of sales lifecycle activities - including closed-won deals, amendments, cancellations, and renewals - across systems and departments
  • Collaborate with Sales, Finance, Revenue Accountant, Customer Success, and Billing teams to resolve data or process gaps
  • Follow up with stakeholders to obtain missing information, confirm deal details, or clarify contract terms
  • Coordinate end-of-month and end-of-quarter deliverables to ensure accurate revenue recognition and reporting
  • Assist in maintaining accurate deal stages, product configurations, and financial fields within HubSpot
  • Support data hygiene and workflow optimisation efforts across both systems
  • Partner with Revenue Accountant or Systems teams to improve automation, integrations, and reconciliation workflows
  • Prepare reconciliation reports summarising findings, outstanding items, and recommended actions
  • Maintain documentation of reconciliation procedures and data flow between HubSpot and NetSuite
  • Track resolution of issues and escalate risks or delays as needed
  • Support the external audit process

Requirements

  • Years of experience in Finance, Sales Operations, Revenue Operations, or a similar role
  • Familiarity with HubSpot, NetSuite, or similar CRM/ERP tools
  • Strong Excel skills
  • Knowledge of deal structures, bookings, billing, or revenue processes
  • Basic understanding of accounting concepts (e.g., revenue recognition, accruals)
  • High attention to detail and strong analytical mindset
  • Excellent communication skills, with the ability to collaborate across technical and non-technical teams
  • Ability to manage multiple tasks and deadlines with minimal supervision
