About the role

Responsibilities

  • Manage absences and related benefits across the firm
  • Serve as the primary contact for firm members and vendors for any questions and updates regarding our benefits programs related to absences: Contact firm members who are away from work due to short-term disability, maternity, paternity, parental or compassionate leave to provide them with program-specific information and firm benefits
  • Coordinate preparation of documents provided to firm members and Payroll
  • Participate in follow-up calls to manage short- and long-term disability claims with our vendors and insurers
  • Maintain master absence files for short-term disability and maternity/paternity/parental leaves
  • Support firm members, managers and other stakeholders with return-to-work and reintegration plans
  • Follow up on complex cases with the appropriate stakeholders
  • Continuously identify opportunities to improve the experience for firm members and managers
  • Manage accommodation files across the firm
  • Act as the primary contact for firm members and our vendor for accommodation requests, in accordance with the firm’s accommodation policy, including: Ensure confidential and timely handling of requests
  • Obtain and prepare required documentation and coordinate follow-ups with our specialized vendor responsible for assessing accommodation requests, firm members and managers
  • Act as a specialist within the Total Rewards centre of expertise: Lead benefits orientation sessions for new firm members
  • Support members of the Total Rewards team for all benefits-related inquiries from firm members and retirees
  • Provide guidance to firm members on interpreting and applying policies and procedures related to Total Rewards programs
  • Participate in optimizing and documenting payroll and benefits processes and propose improvements to processes, procedures and tools
  • Lead and/or participate in HR projects related to HR initiatives and the Total Rewards centre
  • Support the Senior Manager, Total Rewards with daily activities and annual processes related to insurance, the pension plan and other employee benefits
  • Support centre team members with other requests or projects from the Total Rewards centre
  • Provide backup support to other HR Services team members during absences

Requirements

  • Bachelor’s degree in Business Administration or Human Resources
  • Bilingual (English and French), both spoken and written
  • At least five years of experience in a similar role related to benefits and absence management
  • Proficiency with Microsoft Office suite, specifically Excel at an intermediate to advanced level
  • Knowledge of Canadian laws, regulations and programs related to employee benefits
  • Working toward a professional benefits designation (CAAS or CEBS) is an asset
  • Demonstrated commitment to the firm member experience through effective and timely communication
  • Excellent organizational skills, ability to manage priorities and a strong sense of urgency
  • Analytical and synthesis skills with the ability to streamline processes
  • Strong interpersonal skills and verbal and written communication at all levels of the organization
  • Ability to work independently and manage multiple cases simultaneously while demonstrating flexibility and adaptability in a fast-paced environment
  • Ability to handle firm members’ files with discretion and confidentiality
