Office & Front Desk Manager responsible for visitor management and event setup at a creative agency in Köln. Engaging with community and ensuring smooth operations at the front desk.
Responsibilities
You warmly welcome, assist and inform all visitors, clients, colleagues and subtenants at our central front desk — there’s always something happening here!
You take care of their requests, act as the point of contact for day-to-day needs (among other things), and help bring the on-site community together.
The perfect setup for meetings & events? Your playground! You prepare conference rooms, create a great atmosphere and occasionally rearrange furniture — no problem for you.
Organization & overview: You support and coordinate internal and external meetings, events and functions.
You are our control center: you manage the switchboard, receive deliveries and beverages, handle incoming and outgoing mail, coordinate external service providers, deal with inquiries of all kinds and ensure friendly service at reception.
In addition, you work closely with our facility management and other shared-services departments, keep an eye on all tasks and processes in the building and pitch in wherever needed.
Requirements
Organizational talent & reliability: You keep things together when it gets busy.
Solution-oriented mindset: You treat obstacles as tasks to be solved, not as problems.
Open, communicative manner: You enjoy engaging with people and remain service-oriented — both internally and externally.
Proactive contribution: You bring ideas, think ahead and look beyond the obvious.
Proactivity: You don’t wait to be asked — you take action.
Interest in events & office management: You enjoy a varied, lively working environment.
Work experience: At least 2 years is a plus — what matters most is your drive.
Discretion: Confidential information stays with you, where it belongs.
Confident Office 365 skills and good English language skills are standard for you.
Benefits
Onboarding: Welcome session, onboarding day, new-starter coffee and introductory meetings — we make sure you have a perfect start.
Professional development: Your growth matters to us. Whether through our internal Campus training program, voluntary language courses or regular coaching — we keep you up to date!
Fun: People need breaks. Whether it’s parties or working out — we offer regular after-work events and agency-sponsored fitness programs.
Accessibility: Our modern office in the heart of Cologne is easy to reach thanks to its prime location and our subsidy for the Deutschlandticket.
International environment: As part of our internationally operating agency group, you’ll have the opportunity to connect and exchange with colleagues from a wide range of disciplines around the world.
