About the role

Responsibilities

  • Coordinate and monitor the IFM contractor management program
  • The scope of the IFM service provider may include, but is not limited to, cleaning management, courier shipments, receptionist services, repair and maintenance, recyclable waste collection, gardening services, chemical waste collection, event management, etc.
  • Follow up on the preventive maintenance schedule proposed by the IFM service provider
  • Validate service for all performed maintenance activities, repair, alteration, improvements, upgrading works to the building infrastructure, office equipment handling, Mechanical and Electrical (M&E) systems and facilities received from the IFM service provider
  • Supervision the relationship with the landlord and follow up with the IFM service provider for building-related services and repairs
  • Formulate maintenance procedures and policies and facility emergency plans
  • Implement and ensure escalation procedures are in place and observed for problem reporting
  • Conduct regular meetings and submit monthly management reports
  • Use resources responsibly, control expenses to meet budget, and identify cost-saving opportunities
  • Develop, implement, and monitor policies, procedures, and programs to ensure compliance with applicable EHS laws, regulations, and company standards
  • Organize effective emergency planning and response
  • Coordinate and conduct EHS training for employees, as well as develop and deliver safety-related communications and materials
  • Conduct regular safety inspections and audits of facilities to identify and mitigate potential hazards, and ensure compliance with applicable EHS regulations and guidelines
  • Serve as the primary contact for regulatory agencies, and manage all aspects of EHS-related reporting and recordkeeping
  • Participate in incident investigations, root cause analysis, and develop corrective and preventive action plans as necessary
  • Develop and maintain relationships with internal stakeholders and external partners to promote a culture of safety and continuous improvement
  • Lead local projects and initiatives with focus on Health & Wellbeing, Community and Sustainability

Requirements

  • Bachelor’s Degree in Engineering (Electrical/Electronics/Mechanical/Chemical) or Environmental Health and Safety, Facilities Management, or related field
  • Minimum of 5 years of experience in both IFM coordination and EHS management, preferably in the chemical or manufacturing industry
  • Open for candidates from other industries
  • Work experience with vendor management for outsourced services is preferred
  • Knowledge and certification of applicable Occupational Safety, Health and Environment regulations and Hazardous Waste Management would be an advantage
  • Registered Safety Officer (Professional or Advanced Technical Level)
  • Strong project management skills, including the ability to manage multiple projects simultaneously and prioritize competing demands
  • Excellent communication and interpersonal skills, with the ability to effectively collaborate with individuals at all levels of the organization
  • Demonstrated ability to lead and influence change, and promote a culture of safety and continuous improvement
  • Fluency in English is a must.
