About the role

  • Join Ethos as an Administrator supporting our finance team with various administrative tasks. Engage in invoicing, ERP administration, and contributing to team improvements.

Responsibilities

  • Join Ethos as an Administrator supporting our finance team
  • Production of Manloaders for invoicing to clients: Use project management system to obtain up to date timesheets
  • Follow up with employees missing timesheets
  • Using Manloader templates provided by clients input hours on weekly basis for review by accounts receivable specialist
  • Work closely with accounts receivable specialist and client partner on approval of manloaders prior to invoicing to clients
  • Ensure high degree of accuracy in hours entered and rates applied based on each client
  • System administrator for the ERP system: Keeping staff records up to date – adding new starters and removing leavers
  • Sending new starters training on the basics of using the system
  • Become superuser on the system and assist with user issues across the business
  • Administer company expenses process: Review Revolut on weekly basis and ensure adequate supporting receipts for each purchase
  • Compile travel expense summaries by project for re-billing to clients
  • Raise purchase orders to send to suppliers
  • Support Sustainability committee with quarterly data and reporting requirements
  • General office administration tasks – printing, scanning, arranging courier
  • Weekly and monthly analysis and report production
  • Ad hoc support request from other members of the finance team
  • Drive process improvements in areas of responsibility and through engagement with the finance team as a whole
  • Own procedure documentation in areas of responsibility

Requirements

  • 1-2 years of administration or office based experience in a similar sized business preferable
  • Good organisational skills, able to prioritise effectively & escalate as necessary
  • Proactive & effective communicator, able to communicate both internally within the business and externally to clients & customers
  • Team player, ability to work both independently and collaboratively with other team members, in pursuit of finance objectives
  • Competent IT skills, including a proficiency in the use of excel
  • Continuous improvement mindset
  • Interest in pursuing a career in business and finance preferable
