About the role

  • Event Consultant managing logistics and negotiations for corporate events at Flytour Eventos. Ensuring quality service and proactive client consulting with expertise in the field.

Responsibilities

  • Lead events under your responsibility, including analysis and review of the brief, accommodation, logistics and additional requirements, discussing and evaluating with clients to ensure correct contracting;
  • Provide proactive consulting, suggesting actions and improvements to achieve expected results, acting as an event consultant and proposing changes and innovations based on technical expertise;
  • Request, prepare and send event quotes;
  • Negotiate prices with suppliers to meet saving targets;
  • Monitor RSVPs, track outstanding items and propose solutions through careful analysis of information exchanged between the Agency and the Client;
  • Monitor all services contracted for the event, ensuring quality and adherence to deadlines;
  • Conduct and manage the event using Flytour’s established systems (Inteegra);
  • Close out the event, ensuring proper completion in current systems, as well as sending mandatory documents and requesting supplier payments when applicable;
  • Arrange payment scheduling for involved suppliers;
  • Analyze connection times and mandatory data from attendance lists for virtual, hybrid and in-person events;
  • Ensure compliance with SLAs and KPIs established in the contract between Amex GBT/Flytour;
  • Perform site visits to ensure venues meet the event brief, when necessary;
  • Attend and lead regular training sessions from Flytour and Amex/GBT;
  • Follow all Flytour policies and departmental guidelines;
  • Participate in weekly meetings with the manager, presenting progress of activities and achievement of individual and company targets;
  • Conduct and participate in pre-event meetings and activities with each project’s responsible parties, including negotiations, always observing compliance rules.

Requirements

  • Bachelor’s degree completed or in progress;
  • Proven experience in corporate event logistics;
  • Intermediate knowledge of Microsoft Office, especially Excel;
  • Knowledge of the Inteegra system is a plus;
  • Organized, communicative profile with strong negotiation skills.
