About the role

  • Executive Assistant to COO in a hybrid work environment at Bearpaw GmbH. Organizing information, managing projects, and enhancing operational efficiency.

Responsibilities

  • Information hub: You collect, filter, and distill all relevant information for the COO and ensure the COO always has the right data on hand.
  • Project management: You track the most important projects, ensure accountability for follow-ups, and keep blockers off the COO’s desk.
  • Structure & routines: You design the COO’s calendar so that leadership and strategic steering are the focus — not firefighting.
  • Communication interface: You prepare meetings (before and after), create decision-making materials, and ensure tasks are implemented by the team.
  • CEO radar: You manage the interface between COO and CEO — ensuring both receive the right information at the right time.
  • Process architect: You document and improve core processes so we operate more sustainably, efficiently, and profitably.

Requirements

  • Degree (Business Administration, Economics, Supply Chain, or similar) or equivalent experience — ideally with a focus on finance or project management.
  • 2–4 years of professional experience in a demanding environment (e.g., consulting, finance, start-up, operations).
  • Strong analytical skills, excellent at organizing and structuring.
  • Excellent communication skills — able to distill complex information concisely.
  • Confident and assertive, while also empathetic in interactions with others.
  • Hands-on mentality: You see what needs to be done and take action.
  • Enjoy working in a dynamic, changing environment with a fast pace and high expectations.
