About the role

  • The Legal Assistant provides proactive legal and administrative support to in-house attorneys handling a variety of corporate and trademark matters.
  • In this capacity they may schedule meetings, conference calls, and depositions; coordinate witnesses; handle subpoenas, pleadings and other court documents as directed.
  • The Legal Assistant will answer phones and may screen and announce telephone calls directed to attorneys.
  • May gather university documents from various departments, as they pertain to matters being handled in the OGC.
  • Provides broad-based administrative support for the attorneys and has specific roles and responsibilities as designated per their role in the OGC.

Requirements

  • A high school diploma is necessary.
  • A bachelor’s degree from an accredited institution of higher education is preferred.
  • A paralegal certification is a plus.
  • At least 5 years of legal assistant or legal office experience is necessary.
  • Outstanding interpersonal communication and collaboration skills in order to work effectively with a wide group of audiences – including staff, faculty, students, leadership, and law firms -- is necessary.
  • Utmost adherence to confidentiality and business ethics; demonstrated outstanding judgment and discretion is necessary.
  • Meticulous attention to detail is necessary.
  • Advanced working knowledge of Microsoft Office suite is necessary.
  • Experience in working with legal technologies -- including document management, contract management, matter and eBilling management -- is necessary.
  • Demonstrated ability to work in a collaborative team environment is necessary.
  • Willingness to proactively support change and rapidly learn new skills when the situation demands is necessary.
  • Ability to take initiative, multi-task, complete tasks and work well under pressure is necessary.
  • Resourceful and resilient; ability to operate in a challenging and modern business environment is necessary.
  • Honesty, with the highest personal and professional integrity, is necessary.
  • Interest in broadening knowledge of systems, processes or people activities to proactively increase their knowledge of law, operations, the OGC, and Vanderbilt University to become a trusted member of the OGC team is strongly preferred.
