About the role

  • Provide executive support to the CEO and Leadership Team in a fintech company. Organize schedules, travel, and corporate events while managing multiple priorities.

Responsibilities

  • Manage and maintain the CEO’s calendar, scheduling meetings, resolving conflicts, and providing timely reminders and briefing materials.
  • Coordinate domestic and international travel arrangements (flights, hotels, ground transportation) for supported executives.
  • Prepare, review, and submit expense reports accurately and on time.
  • Draft, proofread, and format correspondence, presentations, and documents to a high standard.
  • Screen and triage inbound emails, messages, and inquiries; direct or escalate as appropriate.
  • Act as a point of contact for internal teams and external stakeholders seeking time with supported executives.
  • Provide on-the-ground logistical support for corporate events including All Hands, QBRs, Board meetings, and executive offsites.
  • Assist with venue coordination, vendor liaison, catering, A/V setup, and attendee management under the direction of the Manager.
  • Support post-event administration including feedback collection, budget reconciliation, and documentation.
  • Assist in tracking project milestones and action items for integration and other corporate workstreams.
  • Prepare meeting agendas, take minutes, and follow up on action items as directed.
  • Carry out ad-hoc research, administrative, and project tasks to support the broader Executive Operations function.

Requirements

  • 1–3 years of experience in an administrative, executive assistant, or operations coordination role (internship experience considered).
  • Strong organisational skills with exceptional attention to detail.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Proactive, resourceful, and able to manage competing priorities in a fast-paced environment.
  • Willingness to work extended hours as required for events
  • Prior exposure to corporate events, project coordination, or executive support in a technology or financial services firm.
  • Familiarity with project management tools such as Jira, Confluence, or Asana.
  • Experience supporting a fast-growing, global organisation.
