About the role

  • Sales Administrator managing order processing and administrative support for public sector clients at Theodo GovTech. Collaborating with finance and operations teams to ensure compliance and accuracy.

Responsibilities

  • Collect purchase orders before the start or continuation of assignments
  • Verify their compliance (legal entity, scope, daily rate (TJM), volumes, periods, billing conditions)
  • Ensure consistency between contracts, amendments and ongoing assignments
  • Track amounts consumed versus amounts ordered
  • Alert in case of overruns or anomalies
  • Ensure rigorous record archiving
  • Manage completion of timesheets
  • Follow up in case of delays or errors
  • Verify the consistency of logged time
  • Approve timesheets for billing in coordination with the budget manager
  • Prepare and generate invoices (recurring and one-off)
  • Verify their compliance with purchase orders, contracts and amendments, and approved timesheets
  • Check the daily rate (TJM), billing periods, legal entities and statutory mentions
  • Obtain delivery acceptance reports if required
  • Adhere to the billing schedule
  • Send according to client procedures (public platforms, Chorus Pro, etc.)
  • Track acceptance statuses
  • Handle rejections and correction requests
  • Monitor payment deadlines
  • Follow up with clients (email / phone)
  • Coordinate dispute resolution
  • Escalate at-risk situations
  • Compile administrative response files
  • Prepare contractual documents (including for consortiums)
  • Collect partner documents when needed
  • Verify the compliance of supporting documents
  • Submit files on public platforms

Requirements

  • Minimum Bachelor's degree in Accounting
  • 2 to 6 years' experience in Sales Administration
  • Proficiency with an ERP system (Oracle or NetSuite preferred)
  • Strong accounting knowledge
  • Good understanding of the client contract lifecycle
