About the role

  • Hands-on Bookkeeper responsible for payroll and accounts payable at a fast-moving events company. Overseeing financial processes, invoicing, and reporting in a production environment.

Responsibilities

  • Process payroll for: 10–15 internal employees
  • 2–40 union production employees (varies by event)
  • Serve as the main point of contact with ADP for payroll questions and issue resolution
  • Coordinate employee onboarding paperwork, including required documents and insurance forms
  • Occasionally act as the primary contact for production staff
  • Handle Accounts Payable: Receive, track, and process vendor invoices
  • Manage client AP invoices
  • Code payables and enter into QuickBooks
  • Reconcile bank and credit card statements
  • Produce accurate time reports and assist with P&L reporting
  • Work heavily in Google Sheets and Google Docs for tracking and reporting
  • Maintain strong availability during business hours and respond quickly to time-sensitive requests
  • Occasionally work Saturdays depending on production needs
  • Manage invoice volume ranging from 3–25 invoices per production, averaging ~2 productions/month

Requirements

  • 2–3+ years of bookkeeping experience (enough to independently manage day-to-day work)
  • QuickBooks experience (Desktop required)
  • Strong Google Sheets / Docs skills
  • Comfortable working in a fast-paced, production-driven environment
