About the role

  • Procurement Specialist responsible for supplier management and sourcing at QS. Leading tender processes and contract administration for strategic procurement initiatives.

Responsibilities

  • Identify, evaluate, and qualify new suppliers to expand our robust and competitive supply base.
  • Lead strategic tendering processes, determining the best approach and preparing the appropriate documentation (e.g., RFQ, RFI, RFP) to drive competitive outcomes.
  • Conduct rigorous ‘first principles’ analysis by deconstructing supplier pricing into its core components to establish a comprehensive view of the Total Cost of Ownership (TCO).
  • Prepare comprehensive cost comparison reports and summaries for stakeholder review, providing clear recommendations based on quantitative and qualitative data.
  • Draft, review, and negotiate commercial terms and conditions within contracts, framework agreements, and order forms, ensuring they protect the company's interests and mitigate risk.
  • Administer contracts post-award, meticulously managing variations, scope changes, and potential claims in collaboration with business and legal teams.
  • Ensure supplier adherence to contractual obligations, including Service Level Agreements (SLAs), delivery schedules, and quality specifications.
  • Maintain a central repository of all contractual documentation, ensuring accuracy and accessibility.
  • Execute the SRM program for assigned suppliers, applying established segmentation and performance management framework.
  • Lead formal supplier performance reviews (e.g., Quarterly Business Reviews - QBRs), using data-driven scorecards and KPIs to measure performance against contractual obligations.
  • Act as a strategic partner to key suppliers, driving continuous improvement initiatives, identifying opportunities for joint value creation, and fostering innovation.
  • Proactively monitor and mitigate supplier-related risks, including financial health, supply chain disruptions, and compliance issues.
  • Develop and maintain cost databases and pricing benchmarks for key services to inform negotiations and budget forecasting.
  • Proactively collaborate with internal teams to identify opportunities for cost savings through alternative specifications, without compromising quality or performance.
  • Track and report on savings and performance metrics for all assigned sourcing activities, providing accurate data for departmental reporting.

Requirements

  • Bachelor’s degree in supply chain management, Business, Finance, or a related field.
  • Experience in a strategic procurement or category management role, with demonstrable experience in sourcing indirect services.
  • Proven, in-depth category expertise in: Information Technology (SaaS, hardware, IT services), Marketing/Events (venue sourcing, agency management) and services.
  • Hands-on experience and proficiency in NetSuite are highly preferred.
  • Professional certification (e.g., CIPS, CPSM) is desirable.
  • Unquestionable Integrity: Demonstrates unwavering professional integrity and ethical standards in all actions.
  • Exceptional Analytical & Quantitative Skills: A data-driven approach is essential.
  • Meticulous Attention to Detail: The ability to scrutinize contracts, specifications, and quotations for discrepancies, risks, and opportunities is paramount.
  • Strong Commercial Acumen and Contractual Expertise: A deep understanding of cost drivers, market dynamics, and negotiation strategies to achieve optimal commercial outcomes.
  • Solid understanding of contract law principles and experience in drafting and negotiating commercial terms, especially SaaS agreements, MSAs, and event contracts.
  • Impeccable Communication & Influence: The ability to communicate with exceptional clarity and conciseness is non-negotiable.
