About the role

  • Executive Assistant working with management in a hybrid environment at an e-commerce startup. Responsibilities include administrative support, project management, and strategic assistance.

Responsibilities

  • Personal & Executive Assistance
  • Comprehensive scheduling, calendar and travel planning for senior management
  • Preparation, follow-up and coordination of meetings including follow-ups
  • Structuring and prioritization of email communications
  • Ensuring focus time and smooth alignment with stakeholders
  • Office & organizational management
  • Organizing and optimizing administrative processes
  • Management of documents, contracts and office procedures
  • Coordination of external service providers and ensuring a functioning office setup
  • Project management & special tasks
  • Supporting and independently executing selected projects (e.g., admin, HR, operations)
  • Participation in internal events, meetings and special tasks
  • Preparing information and decision-making materials
  • Executive support & strategic development
  • Supporting management on strategic topics
  • Creating presentations, reports and analyses
  • Researching and preparing decision-ready proposals

Requirements

  • Several years of professional experience as a Personal Assistant / Executive Assistant, ideally in a startup or scale-up environment
  • Structured, reliable working style with high quality standards
  • Strong communication skills at all levels
  • Proactivity & initiative — you see what needs to be done
  • Discretion & trustworthiness in handling sensitive information
  • Analytical and strategic thinking
  • Resilience & multitasking ability in a dynamic environment
  • Digital affinity (tools, processes, automation)
  • Fluent German and strong English skills
