About the role

  • Executive Secretary managing schedules and communications for directors at Machado Meyer. Involves travel organization, meeting coordination, and supporting corporate events.

Responsibilities

  • Responsible for the directors' agenda, organizing weekly meetings with other company departments
  • Organize and manage directors' calendars in Outlook with weekly planning
  • Coordinate travel arrangements (booking and issuing airline tickets/accommodations)
  • Support the organization of company events and celebrations when director participation is required
  • Expense reporting, reimbursement requests, and expense control
  • Management of documents and correspondence
  • Liaise with other company secretaries
  • Communicate with other company executives
  • Open client matters: receive requests from the area's lawyers and partners, verify relevant information, and enter it into the appropriate system
  • Maintain contact records and perform ongoing updates in the CRM platform

Requirements

  • Bachelor's degree in Secretarial Studies, Executive Assistance, or a related field (required)
  • Minimum of 3 years' proven experience as an Executive/Director-level Secretary or Executive Assistant (required)
  • Advanced knowledge of the Microsoft Office suite (required)
  • Advanced English for international communication (required)
  • Problem-solving oriented, available, proactive, and communicative
