About the role

  • Delivery of Tax Returns & Extensions
  • Oversee, coordinate, and assist with assembly of tax returns, preparation of Forms 1099 and W-2, e-filing of tax returns and extensions, address electronic filing rejections as needed, including the use of online and other research tools to determine various federal and state filing requirements
  • Technical and administrative maintenance of XCM, virtual client tracking system
  • Oversee I-Channel, Practice Management, Outsourcing/Xpitax
  • Update and manage tax software, assist with software implementation, assist with data maintenance and cleanup
  • Coordinate the mass mailing for firm of annual tax organizers and business information requests which the clients use to gather their tax information
  • Provide support to clients who use online method to gather their tax information, which includes emailing clients to provide access to the online tax notebook, answering client questions and processing/downloading information onto our network
  • Tracking of Tax Return Due Dates and other deadlines
  • Maintain database of all our clients, the forms they file and each form's due date
  • Print and create reports
  • Monitor project due dates to ensure all work is completed in a timely manner.
  • Communicate deadline and workload conflicts to partners as needed to ensure timely completion of work.
  • Responsible for updating filing instructions, ordering IRS forms
  • Oversee scanning of client files
  • Work with partners to standardize office procedures, systems, and forms to bring efficiency to the tax assembly process.
  • Recommend system revisions and implement new forms and procedures as necessary.
  • Training Assist with recruiting of new hires of tax processing group
  • Train new and existing staff on software programs (e.g., XCM)
  • Present busy season administrative procedures to firm on an annual basis
  • Interface with staff, clients, and vendors regarding various tax software products
  • Other Administration Enforcing policies, helping to improve procedures, etc.
  • Coordinate department projects and tasks
  • Share and transfer knowledge and skills to other members of the administrative support team. Train others to back up this role.
  • Work with internal team to provide an exemplary client experience internally and externally.
  • Accurately maintain electronic and paper files.
  • Ownership/maintenance of client information and data related to the department in firm software tools including iChannel, XCM or other software programs.
  • Phone and reception support for lunches and other coverage needs.
  • Assist with various projects and other administrative functions as requested

Requirements

  • 2-5 years’ experience supporting a professional services or other service focused business in an administrative role.
  • Demonstrated self-starter with the ability to delegate and prioritize workflow, multi-task and taken ownership of projects, as well as perform job requirements with minimal supervision and ensure quality and timely delivery
  • Attention to detail, neat, organized, and creative
