Responsibilities
Provide and send manuals to suppliers via email, phone or WhatsApp to clarify doubts and guide required procedures.
Create product records, issue and receive orders, and track them using the system-generated code; extract and send orders to the supplier and ensure receipt via email to confirm the purchase.
Generate and validate label files in the system for sending to suppliers to ensure product identification in stores.
Request samples for Quality Control via email, phone or WhatsApp for approval by the product and quality teams. Monitor, approve and follow up on samples in the Supplier Portal to release scheduling.
Follow up on order scheduling via email, phone or WhatsApp to guarantee deliveries. Manage follow-ups on orders and deliveries to ensure deadlines are met, cancel schedules when necessary and coordinate with the distribution center (DC) to complete the process.
Maintain communication with suppliers to correct and change orders/products in the system and contact DCs to clarify delivery discrepancies via email, phone or WhatsApp.
Monitor receipt of samples delivered by suppliers and Quality Control for showroom organization and control. Inform suppliers daily about rejected and approved samples with notes via email, phone or WhatsApp to ensure timely delivery; prepare sample identification sheets in Excel to identify and track product age.
Ensure completion of mega-line and catalog sheets via spreadsheets for presentations.
Assist the Styling team in preparing samples for photos and catalogs.
Complete campaign descriptions, gathering information such as sale, product, description and size breakdown for Marketing.
Collect and return samples after the campaign period to the supplier, requesting pickup for cleaning and preparation of new samples.
Organize physical portfolio and receipt folders to control order drafts for delivery follow-up. Assist the Product Manager when necessary by issuing required drafts to secure purchases. Prepare drafts of received orders, separating them for audit control when requested. Discard drafts older than one year to clean up files.
Send pattern/modeling information to suppliers via email, phone or WhatsApp for sample approval. List donation sample items in a spreadsheet for audit control.
Assist stores by providing support and clarifying doubts to help ensure successful sales.
Requirements
Education: High school diploma. Preferred: currently enrolled in a university or technical program in Fashion, Business Administration or Finance.
Experience: Minimum 6 months in retail preferred.
Computer skills: Basic Microsoft Office.
Technical competencies: Negotiating deadlines, internal/external customer focus and knowledge of the retail market.
Behavioral competencies: Interpersonal skills, communication, agility and organization.
