Responsibilities
Data maintenance & data quality (approx. 40%): Careful maintenance of CRM/quote databases (e.g., Copper, Zoho, Notion, HubSpot). Ensure consistent data quality: account records, pipeline status and responsibilities. Version control and structured storage of all sales-related documents. Build and maintain dashboards and reports for the Commercial team.
Quote management (approx. 30%): Independently create, send and follow up on quotes. Further develop and optimize quote templates. Monitor open quotes and support quote controlling. Coordinate contract renewals (renewals) and track deadlines.
Sales process support (approx. 20%): Support lead qualification, funnel tracking and forecasting. Maintain pipeline timings and ownership in the CRM. Prepare data for sales meetings and strategic reviews. Monitor KPIs and provide operational analysis of sales metrics.
Process optimization & automation (approx. 10%): Provide active input to standardize and automate routine tasks. Identify optimization potential in tools, workflows and templates. Contribute to the introduction of new tools or AI-powered processes. Quality assurance and continuous improvement of operational workflows.
Requirements
0–2 years of professional experience in an operational, structuring role (e.g., Sales Operations, Office Management, Data Management, Executive Assistance) — career changers with strong organizational talent are welcome.
Strong organizational skills, structured approach and an eye for detail.
High affinity for digital tools and CRM/sales systems (e.g., Notion, HubSpot, Zoho, Copper) — you pick up new systems quickly.
