About the role

  • Executive Assistant providing high quality administrative support to UK&I Legal Director at BAM. Manage communications, schedules, and logistics to enhance operational efficiency.

Responsibilities

  • Manage the Legal Director’s diary, arranging internal and external meetings
  • Screen and prioritise communications (e.g. emails and other requests)
  • Ensure timely and accurate communication across the Legal function
  • Track key dates, governance deadlines and routine deliverables for the Legal Director
  • Chase actions, reminders and inputs from internal stakeholders
  • Maintain oversight of recurring rhythms and ensure all associated activities are maintained
  • Schedule meetings, workshops and events, ensuring all logistics are in place
  • Prepare and organise agendas, materials and pre reads as required
  • Take minutes, track actions and follow up with relevant stakeholders
  • Coordinate travel arrangements (domestic and occasional international)
  • Prepare itineraries and ensure all documentation is in place
  • Manage last minute changes with calm and professionalism
  • Maintain filing systems — digital and physical — for legal documents, confidential files and correspondence
  • Support document formatting, proofreading and basic drafting
  • Ensure secure handling of sensitive legal and governance information
  • Process expenses and raise purchase orders
  • Support invoice tracking, coding and approval processes in line with policy
  • Provide general administrative support to the wider Legal team as required
  • Assist with onboarding documentation, induction logistics and coordination for new joiners
  • Support Legal team events, engagement activities and training sessions

Requirements

  • Previous experience in an EA/PA, team assistant or administrative role, ideally in a professional services, legal or corporate environment
  • Strong organisational and diary management skills
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft 365 (Outlook, Word, PowerPoint, Excel, Teams)
  • High degree of integrity, confidentiality and discretion
  • Strong attention to detail and ability to manage multiple tasks calmly and effectively
