About the role

  • Administrative Assistant managing legal operations tasks for a real estate firm. Responsibilities include payment controls, organization of legal information, and supporting team efficiency.

Responsibilities

  • Manage and monitor payments for the Legal department, including verification, organization and updating of payment spreadsheets;
  • Provide updates to vendors regarding payment status, requests and clarifications, ensuring clear and organized communication;
  • Track deadlines for execution of legal requests, monitoring activities assigned to the department's attorneys;
  • Receive and respond to request emails, indicating the attorney responsible for each matter and the expected timeframe for reply;
  • Support the organization of information, documents and administrative controls for the Real Estate Legal Department, ensuring traceability and standardization;
  • Serve as an administrative support point for the team, contributing to efficient departmental workflows.

Requirements

  • High school diploma;
  • Currently pursuing a university degree in Administrative or related areas is preferred;
  • Microsoft Office proficiency;
  • Organized and responsible profile with strong attention to detail;
  • Good ability to manage deadlines, written communication and relationships with vendors and internal teams;
  • Comfortable working with spreadsheets and administrative controls;
  • Proactive, with a sense of priorities and a collaborative attitude, contributing to the operational efficiency of the Real Estate Legal Department.
