About the role

  • Operations & Finance Coordinator managing administrative and financial tasks for ZeroEx in Brazil. Collaborating with the German HQ and overseeing local activities.

Responsibilities

  • Equipment & Machinery: source, purchase, track and oversee equipment; maintain inventory; schedule maintenance; and manage vendors and repairs.
  • Expenses & Cash Flow: manage accounts payable/receivable (AP/AR), reimbursements, PIX/boletos and petty cash; reconcile cards and bank accounts; provide month-end support to the external accountant; and maintain a clean document trail.
  • Purchasing & Logistics: obtain quotes, issue POs and contracts; coordinate shipping (domestic and imports), customs broker and delivery to field sites (e.g., different states).
  • Compliance Administration: issue and collect service invoices (NFS-e), file/support ISS/ICMS where relevant with the external accountant; and maintain contract and policy records.
  • Reporting to PBO & German HQ: prepare a weekly ops/finance dashboard (spend, inventory, open POs, vendor issues), take meeting notes and track action items.
  • Support to People Ops: onboarding/offboarding checklists, time and expense tracking, travel bookings, health & safety documentation; coordination with Personio/HR.

Requirements

  • 3–5+ years of experience in administration/operations/finance at a startup or SME in Brazil.
  • Hands-on experience with NFS-e, vendor onboarding, accounts payable/receivable and basic Brazilian compliance flows (ISS, service invoices, receipts).
  • Proficient with Excel/Sheets, Notion/Drive and comfortable using ERPs (Omie/ContaAzul/QuickBooks) and PIX/boleto payment workflows.
  • Experience managing vendors and basic coordination of imports/logistics.
  • Fluent in Portuguese and English; able to produce concise reports. (German is a plus.)
