About the role

  • Executive Assistant supporting CEO & CFO at JUFA Hotels in Graz. Organizing, prioritizing, and managing executive office responsibilities, including meetings and travel planning.

Responsibilities

  • You are the central hub for our executive management (CEO & CFO): you organize, prioritize, think ahead — creating focus for the truly important matters.
  • Proactive appointment coordination, calendar and inbox management, preparation and follow-up of meetings including decision papers & minutes
  • Travel planning, bookings, expense reporting (including policies & receipt management)
  • Creation/finalization of presentations, briefings, reports and board documents (German/English)
  • Structured support of projects (e.g., efficiency, digitalization), to‑do tracking, follow-up
  • Close collaboration with Finance/Controlling, HR, Commercial & Operations; confidential communication with internal and external stakeholders
  • You meet deadlines, think with clarity, structure and impact — and keep an overview even with multiple tasks in the air.

Requirements

  • Several years of practical experience as an Executive Assistant / Assistant to Management or in a comparable role
  • Strong MS Windows/Office skills (Excel/PowerPoint/Outlook)
  • Affinity for AI tools (e.g., for research, text generation & slides)
  • Hungry, motivated, hands-on, out-of-the-box thinker; high drive for change in a change environment
  • Fluent in German and English, both written and spoken; confident, discreet manner at C‑level
  • Strong in structuring, anticipation and prioritization; high service orientation
