Billing & Operations Specialist handling billing, payments, and contracts at AI-powered communication company Whippy. Supporting customers and ensuring revenue compliance for U.S. markets.
Responsibilities
Own and manage billing, payment, and contract operations
Monitor billing systems for failed payments, overdue invoices, and expired payment methods
Proactively follow up with customers regarding billing issues and outstanding balances
Ensure billing information and payment methods are accurate and up to date
Track customer contracts, payment schedules, and compliance
Follow up with customers not honoring contract or payment terms
Identify active accounts that are unpaid or past due and coordinate appropriate next steps
Respond to customer requests for invoices, receipts, tax documentation, and billing confirmations
Assist customers with billing questions and payment updates
Resolve billing discrepancies clearly and professionally
Maintain clear reporting on overdue balances, recovered revenue, and billing status
Help document and improve internal billing and contract workflows
Requirements
Experience in billing, operations, accounts receivable, or a similar role (SaaS preferred)
Comfortable following up with customers about overdue payments and billing issues
Strong attention to detail and excellent follow-through
Clear, professional written and verbal communication skills (English required)
Experience working with billing platforms (Stripe or similar) and CRM tools
Highly organized, proactive, and able to work independently
Comfortable interfacing directly with leadership and cross-functional teams
Self-starter who thrives in a fast-paced startup environment
