About the role

  • Accounting Assistant supporting accounts payable and cash handling at Kingston Marriott Hotel. Ensuring accuracy in financial records and compliance with company policies while promoting teamwork and collaboration.

Responsibilities

  • Monitor proper use of the purchase order system and report any deviations to the supervisor.
  • Match invoices with purchase orders and goods received; process credit notes where applicable.
  • Enter invoices into accounting software (Great Plains) and forward verified invoices to corporate for payment processing.
  • Respond to vendor inquiries and coordinate with corporate accounts payable as needed.
  • Accrue month-end expenses and prepare journal entries.
  • Maintain accurate files, registers, and reports for accounts payable.
  • Receive, stamp, code, and process invoices from all sources.
  • Ensure all invoices are properly coded and approved within company guidelines.
  • Process cheque requests and reconcile vendor statements.
  • Prepare tax reconciliations (HST, MAT, etc.) for review.
  • Assist with cash handling procedures, including counting floats and safes.
  • Reconcile daily cash deposits with the Property Management System.
  • Manage and track cash floats, deposits, paid-outs, and due backs.
  • Monitor and report cash overages and shortages.
  • Prepare petty cash reimbursements and coordinate bank change orders.
  • Assist with food and beverage inventory counts and operational supply inventories.
  • Update inventory valuations based on current market value.
  • Perform other duties as assigned in accordance with Company and Brand Standards.

Requirements

  • University or College diploma in Accounting, Finance, or a related field.
  • Minimum 2 years of relevant accounting or finance experience.
  • Strong analytical, organizational, and problem-solving skills.
  • Ability to prioritize tasks and manage multiple responsibilities.
  • Strong attention to detail and accuracy.
  • Proficiency with accounting systems and Microsoft Office.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive financial information.
  • Ability to work in a fast-paced environment with changing priorities.
