Responsibilities
Get things done, whatever is needed
Ensure the smooth running of daily operations
Manage the office: coordinate supplies, equipment, service providers and vendors
Coordinate meeting rooms, including bookings and general availability
Handle visitor management
Support internal events, team activities and office-related logistics
Manage incoming and outgoing mail
Monitor company expenses and ensure each transaction is accurately recorded and categorized
Assist with vendor communications regarding invoices, payments and clarifications
Help the team understand and follow correct procedures for invoices and expenses
Support HR administrative tasks (onboarding, documentation, general personnel matters)
Requirements
Some professional experience in operations, office management, administration, HR or finance (agency experience is a plus but not required)
Strong knowledge of Microsoft 365; experience with tools such as Notion, Pliant, Datev or similar is a bonus
A structured, reliable and hands-on mindset: you want to take responsibility and get things done
An eye for detail without losing sight of the big picture
Ability to juggle multiple tasks and priorities simultaneously
A natural service-oriented mentality and strong communication skills
A genuine interest in how a creative agency operates beyond a single department
Excellent German and English skills
