About the role

  • Project Coordinator managing small works projects and supporting larger projects in a hybrid environment. Responsible for scheduling, documentation, client liaison, and operational delivery.

Responsibilities

  • Manage small works projects from initiation to completion.
  • Support the wider team with assistance planning, scheduling, and administration for larger projects.
  • Book project engineers for client works and maintain accurate schedules.
  • Create job sheets, RAMS (Risk Assessment & Method Statements), and maintain project documentation.
  • Book project meetings, take minutes, and follow up on action points.
  • Keep clients updated on project progress and respond to queries promptly.
  • Manage the project mailbox and ensure timely responses to client queries.
  • Review new projects for readiness and escalate issues as needed.
  • Coordinate and manage subcontractors and suppliers for project delivery.
  • Prepare regular status reports for internal stakeholders and clients.
  • Maintain accurate asset records in the CRM system.
  • Arrange services, licences, and equipment for projects.
  • Organise and oversee dispatch of equipment to client sites.
  • Support project handover, client sign-off, and lessons learned documentation.
  • Perform other administrative tasks as required.

Requirements

  • Ability to manage small projects independently and support larger projects effectively.
  • Strong time management and prioritisation skills to handle multiple tasks simultaneously.
  • Excellent verbal and written communication skills for liaising with clients, engineers, and third-party contractors.
  • High level of accuracy in documentation, scheduling, and compliance checks.
  • Familiarity with creating RAMS, job sheets, and understanding basic project delivery processes.
  • Competent in MS Office (Excel, Word, Outlook) and experience with CRM systems or project management tools.
  • Ability to identify issues early and escalate or resolve them efficiently.
  • Comfortable working closely with Project Managers and cross-functional teams.
  • Professional and proactive approach to client communication and relationship management.
