About the role

  • Intern assisting in finance and administrative operations for Invenzi, a tech company developing access control solutions. Managing office logistics and ensuring efficient daily operations.

Responsibilities

  • Ensure the smooth operation, organization and maintenance of the office on a day-to-day basis.
  • Coordinate with the cleaning staff and contact suppliers for repairs and maintenance when necessary.
  • Maintain the organization of meeting and training rooms, ensuring they are always ready for use.
  • Manage and purchase office supplies, pantry items and other consumables, maintaining appropriate stock levels.
  • Provide support for internal events and for receiving visitors.
  • Assist with corporate travel logistics (booking flights, arranging accommodation, etc.).
  • Handle the receipt and dispatch of materials, equipment and correspondence.
  • Support the resolution of delivery discrepancies.
  • Obtain quotes and negotiate with suppliers of products and services, always seeking the best cost-effectiveness.
  • Issue purchase orders and track orders through to final delivery.
  • Develop and maintain strong relationships with our supplier base.

Requirements

  • Currently enrolled in a bachelor's degree in Business Administration or a related field.
  • Good communication skills and ability to negotiate and build relationships with suppliers and internal teams.
  • Proficiency with Microsoft Office (especially Excel).
  • Organized, proactive, and able to manage multiple tasks.
  • Experience with management systems (ERP) is a plus.
