Responsibilities
Serve as a central point of contact for internal and external enquiries
Play a key role for the coordination between Unit programmes
Support programme planning, documentation, and tracking of key initiatives
Maintain and optimize tools for planning, documentation, and tracking of key initiatives
Provide coordination and executive support to the Senior Director Markets
Manage complex calendars, meetings, travel arrangements, and expense claims
Prepare documentation, presentations, and briefing materials
Act as an internal consultant to help colleagues within the Unit comply with financial, procurement and legal procedures
Support budget tracking and maintain up-to-date financial records
Liaise with Finance and programme managers as required
Coordinate logistics for meetings, workshops, and events
Requirements
Relevant professional office management training or a bachelor’s degree
At least two years of experience in coordination of various teams, executive support, or administrative roles
Strong organizational and time-management skills
Excellent written and verbal communication skills
Confidence handling financial tracking and documentation
Fluency in English; basic German required
Spanish is a plus
Strong MS Office skills; experience with database platforms is an advantage
