About the role

  • Operations Associate supporting day-to-day operations and office culture at Efficio's Chicago office while collaborating with teams across North America.

Responsibilities

  • Oversee day-to-day management of the Chicago office space, supplies, and local communications
  • Serve as main point of contact for building management, vendors, and service providers
  • Manage lease renewals, vendor partnerships, and recurring operational processes
  • Ensure smooth operation of shared spaces including the kitchen, maintaining inventory and office refreshments
  • Provide daily administrative support to the Senior North American Management team
  • Provide ad-hoc support to visiting consultants and the North American team
  • Manage local operations budget and corporate credit card expenses
  • Responsible for the sign off before approval for all Chicago-specific invoices
  • Support Accounts Payable/Receivable processes and relationships with major suppliers
  • Partner with leadership to set and manage local financial priorities
  • Manage and maintain an inventory and onboarding of devices (laptops, phones, accessories)
  • Provide first-line technical support and liaise with the global IT team for escalations
  • Ensure smooth setup and functioning of devices and applications for new and existing personnel
  • Collaborate with HR Senior Advisor on onboarding and offboarding processes for Chicago employees
  • Support HR-led initiatives and maintain compliance with Chicago Labor Laws and OSHA Standards
  • Ensure office policies align with Efficio’s Information Security Standards (“ISO”)
  • Provide administrative and logistical support for BD and Marketing events and campaigns (e.g. CPO Dinners)
  • Assist with data cleansing, research, and CRM updates for BD projects
  • Deliver executive support to Regional Vice Presidents, including travel coordination, calendar management, and expense reporting
  • Plan and execute monthly office events and team activities within defined budgets
  • Collaborate with leadership to strengthen local culture and employee engagement
  • Serve as a key contributor to building and maintaining a positive, connected workplace

Requirements

  • Bachelor’s degree from an accredited university
  • Internship or prior experience in a corporate environment
  • Strong IT literacy, including MS Office (Word, Excel, PowerPoint, Outlook)
  • Excellent multitasking, organization, and problem-solving skills
  • Confident communicator with the ability to build relationships across levels and teams
  • Self-motivated and comfortable working independently
  • Interest in professional growth within a fast-paced, collaborative environment
  • Must have the right to work in the USA
