Responsibilities

  • DNI is seeking an experienced Executive Administrator to support the Communication & Program Strategy Accountability Offices. This role is essential in managing executive functions through high-level administrative support, effective coordination, and clear communication. You will handle complex schedules, coordinate critical meetings, prepare key documents, and manage logistics for both virtual and in-person events. The position demands strong organizational skills, attention to detail, and the ability to prioritize tasks in a fast-paced environment. Proactive problem-solving and maintaining confidentiality are crucial. The ideal candidate will thrive in a dynamic setting, ensuring smooth and efficient operations for our leadership team.

Requirements

  • **Key Responsibilities:**
  • **Calendar Management:** Oversee and manage leadership calendars, ensuring optimal scheduling and resolving conflicts efficiently.
  • **Meeting Coordination and Support:** Schedule and prepare for meetings, managing all logistics, including virtual support and technical setup.
  • **Documentation and Reporting:** Prepare, review, and distribute essential documents and updates, maintaining organized and accessible electronic files.
  • **Logistics and Technical Support:** Coordinate logistics for travel and meetings, ensuring materials and documents are properly managed and archived.
  • **Administrative Duties:** Manage office supplies, distribution lists, and executive communications, ensuring smooth daily operations.
  • **Communication and Coordination:** Serve as the primary communication link for the executive team, facilitating accurate and timely information exchange.
  • **Process Improvement:** Develop and refine SOPs, identifying and implementing improvements to enhance administrative efficiency.
  • **Required Qualifications:**
  • **Education:** Bachelor’s degree in Business Administration, Office Management, or a related field.
  • **Experience:** Minimum of 3-5 years of experience in executive administrative support, office management, or a similar role.
  • **Technical Skills:** Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms such as Microsoft Teams and ZOOM. Familiarity with document management systems like SharePoint.
  • **Organizational Skills:** Exceptional organizational skills, with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • **Communication Skills:** Excellent written and verbal communication skills, with the ability to draft clear, concise, and professional correspondence.
  • **Problem-Solving Skills:** Ability to identify issues and develop effective solutions, particularly in high-pressure situations.
  • **Interpersonal Skills:** Strong interpersonal skills, with the ability to work collaboratively with leadership and team members.
  • **Preferred Qualifications:**
  • **Advanced Experience:** Experience supporting executive leadership in a public health or government setting, including coordinating high-level meetings, managing communications, and overseeing logistics is highly desirable.
  • **Industry Knowledge:** Familiarity with public health programs, evaluation methods, and government protocols.
