About the role

  • Information Controller overseeing document control processes for the Strategic Pipeline Alliance. Managing data and compliance for essential infrastructure projects in the UK.

Responsibilities

  • Assist project team leads with administration and maintenance of the Master Information Delivery Plan (MIDP) on projects for registering and managing their project file deliverables.
  • Assist SPA supply chain with administration and maintenance of the Task Information Delivery Plan (TIDP) for registering and managing their project file deliverables.
  • Generate new document and drawing numbers upon request from the project team and supply chain ensuring they are registered in the MIDP and TIDP respectively.
  • Support the project team and supply chain end-users to upload, create and store data correctly into the various SPA project folders.
  • Review and audit project deliverables – checking that deliverable files are registered in the MIDP or TIDP, all metadata is completed fully and correctly, and each deliverable filename conforms to the SPA file naming convention.
  • Assist all SPA end-users with the file review and approval process workflows.
  • Assist all SPA end-users with any CDE access issues.
  • Administer the incoming documents and outgoing deliverables processes for the project team and supply chain, assisting with the distribution of developed content and information, and ensuring that SPA QA is applied at all stages.
  • Assist the Information Manager with the creation and distribution of guidance, workflows, and training resources.
  • Assist the Information Manager with training of project team and supply chain end-users in correct document control related matters and CDE workflow procedures.
  • Assist project team leads with project report preparation, follow-up, and reminders - monitoring the progress of deliverables, sending reminders to the Delivery Teams about the deadlines etc.
  • Assist with the administration of end-user authentication and access to the CDE.
  • Assist with end-user troubleshooting of CDE related technical problems.

Requirements

  • Knowledge of Office 365. (Word, Excel, PowerPoint, MS Teams)
  • Minimum NVQ or similar
  • Capable of working independently or as part of a project team
  • Experience working in a project support environment
  • Experience with document control, administration
  • Experience working in the Water Utilities, building, infrastructure design, construction industry
  • Experience working to PAS1192 or ISO19650 BIM protocols
  • Experience of asset information management and handover to the client would be beneficial
  • Experience using MS Power Platform Dashboards, Apps and Form
  • Knowledge of SPA Common Data Environment technologies is beneficial: MS SharePoint, BIM360 / ACC. However, a good working knowledge of other Electronic Data Management Systems will also be considered
