About the role

  • Communication Project Specialist managing MarComms projects at McCarthy Tétrault. Overseeing project coordination and effective workflow among team members in a diverse legal firm.

Responsibilities

  • Manage the intake of MarComms project requests via the dedicated inbox, responding or redirecting them in accordance with the team’s standard operating procedures (SOPs)
  • Develop project plans, backward-looking schedules and tracking tools (spreadsheets, etc.)
  • Oversee day-to-day coordination of projects to ensure an efficient and effective workflow among team members
  • Maintain ongoing visibility into active projects, identify potential priority conflicts and proactively engage team leadership as needed
  • Create and keep project-related documentation up to date in our database so all records are reliable
  • Ensure that all communications standard operating procedures (SOPs) are current in our databases and proactively flag any required improvements
  • Collaborate with internal and external subject-matter resources to oversee and execute the development of publications and annual projects, set project timelines and inform teams of any delays or variances
  • Work with the Vendor Management Office and the firm’s Finance department to process communications team invoices
  • Schedule communications team meetings, prepare agendas and draft minutes, supported by AI tools

Requirements

  • University degree in communications, marketing, business administration or a related field
  • Minimum of five (5) years’ experience in MarComms project management and cross-functional coordination
  • Experience in a large corporation, a law firm or another professional services organization (an asset)
  • Bilingualism (French and English), both spoken and written (an asset)
  • Solution-oriented approach with a strong customer service mindset
  • Proficiency with the MS Office suite
  • Ability to learn quickly and leverage new technology solutions, including Copilot
  • Experience with MS Project, MS Visio and SharePoint (user level) is an asset
  • Strong project management skills in a fast-paced environment
  • Excellent attention to detail and demonstrated ability to think across functions to ensure complete task execution
  • Team player with a proactive approach to identifying process improvement opportunities
  • Solid understanding of marketing, communications and business development principles
  • Comfortable managing shifting priorities and tight deadlines
  • Excellent interpersonal and communication skills
  • Ability to assume responsibility with minimal supervision, demonstrating confidence in day-to-day decision-making while knowing when to consult team leadership
  • Excellent writing skills to handle occasional drafting requests for internal and external audiences
