About the role

  • Intern supporting quality assurance and safety audits at Teleport, Southeast Asia's #1 logistics provider. Engaging in documentation management, compliance updates, and audit record housekeeping in a hybrid work environment.

Responsibilities

  • Audit Documentation Management: Collate, scan, and index all official correspondence (emails/letters) related to the audit.
  • Audit Calendar & Logistics: Schedule and send reminders for audit team meetings and follow-up sessions with 3PL stakeholders.
  • NCR and Finding Log Admin: Transfer handwritten/initial audit findings (Non-Conformance Reports - NCRs) into the master digital log.
  • Calendar Management: Ensure manage calendar for all matters related IMS discussion.
  • Records Retention Tracking: Conduct housekeeping of records, ensuring retention periods for QA/Safety/Environment records are tracked and met.
  • Compliance Register Admin: Assist in updating the master list.
  • Audit Records Housekeeping: Responsible for the end-to-end documentation management of all audit records: collating, scanning, and indexing the audit report, audit notification, audit evidence (site visit photos, checklists), and follow-up communication.
  • Calendar Management: Manage the official audit calendar, scheduling key meetings, site visits, follow-up reviews, and internal prep sessions, ensuring zero conflicts.
  • Evidence Traceability: Create and maintain a simplified matrix linking specific audit findings to the corresponding piece of stored evidence (e.g., linking a finding to a specific file path and document version).

Requirements

  • Pursuing or completed a Diploma/Degree in Business Administration, Logistics, Quality Management, or a field with a strong data/IT component.
  • Proficiency in Google Office, Microsoft Office (Excel, Word), Intermediate-level Excel, strong organizational skills, and excellent attention to detail.
  • Available for a minimum internship period of 6 months (6–12 months preferred).
  • Good written and spoken English proficiency.
  • Strong sense of responsibility, discipline, and work ethic.
  • Willingness to learn and follow structured procedures.
  • Ability to manage multiple basic tasks and timelines effectively.
  • High attention to detail and accuracy.
