About the role

  • Procurement and Supply Chain Coordinator managing logistics and supply chain processes for Aqua Expeditions. Leading procurement and compliance in marine equipment and inventory management.

Responsibilities

  • Responsible for the logistical process (quotation, purchase, and delivery materials, spare parts, supplies, consumables, supply chain activities and contracting maintenance and catering services).
  • Purchasing spare parts, and controlling the spare parts and materials inventory from Aqua Expeditions´ vessels and land-based facilities, ensuring the efficient use of allocated resources, within the corresponding budget.
  • Ensure compliance with national and international legislation related to import and export of materials for vessels and land-based facilities.
  • Lead budget preparation for vessel supplies and CAPEX; monitor expenditures continuously to ensure efficient resource allocation and identify cost-saving opportunities through strategic sourcing.
  • Act as the primary liaison between vessels, technical managers, and suppliers to manage the full purchasing lifecycle—from requisition review and quotation analysis to PO issuance and invoice matching.
  • Negotiate pricing and commercial terms with global suppliers; maintain a robust vendor database and proactively source new partners to optimize service quality and costs.
  • Oversee international freight forwarding and customs clearance to ensure on-time delivery of critical spare parts and provisions to vessels worldwide.
  • Utilize DeepBlue software to maintain real-time tracking of spare parts and consumables; conduct annual physical audits of vessel and land-based stocks to ensure data accuracy.
  • Provide dedicated logistical support during dry dock and major maintenance periods, prioritizing urgent requirements to minimize vessel downtime.
  • Ensure all procurement activities align with international maritime legislation, export/import regulations, and Company Quality & Safety manuals.
  • Deliver regular status reports to the Technical Director, manage supplier evaluations, and implement corrective actions following internal or external audits.

Requirements

  • Degree in Business Administration or Engineering
  • 5 + years in maritime industry ( logistics work), ideally in Yacht /Cruise Companies.
  • Advanced English / Spanish
  • Logistics process optimization.
  • Data Analysis and budget management.
  • Good understanding of marine technical equipment, spare parts, consumables, and vessel maintenance supply processes.
  • Familiarity with international logistics, freight forwarding, with strong communication and organizational skills.
  • Supply Management ERP Management (DeepBlue, others)
  • Maritime Regulations knowledge (MARPOL; SOLAS; IMDG;ISM; ISO)
